Gamers Under the Age of 18
Although Polycon has always welcomed younger gamers to its one and three
day events, a heightened sense of security in San Luis Obispo and Cal Poly
have required us to change the way that gamers under the age of 18 are
allowed to interact at Polycon XXII.
As per our agreement with the Cal Poly State University for 2004 we can
only allow minors who come without their parent or guardian to attend the
convention between the hours of 7:30 AM and 10 PM. Parents who wish for
their minor to attend the convention can chose from the following three
options:
1. Parent may attend convention and be responsible for their minor.
Front side of registration form must be filled
out and minor will be able to stay overnight at the convention with the
parent.
2. Parent does not attend, but has signed the Pick-up Authorization
form, to pick-up the minor personally or by a designated party. That
form must be signed along with the
registration form on the front side.
3. Parent does not attend and allows the minor to leave the
convention without any adult supervision. The Convention Leave form must
be signed by the parent authorizing the minor to leave. That form must be signed along with the registration
form on the front side.
As mentioned above, in options 2 and 3, minor cannot participate in
convention events between 10 p.m. and 7:30 a.m. If option 1 is chosen the
time restriction will not apply. Due to the potential for minors to attend
less of the event, we have reduced their registration fee. Minors should
pay the fee indicated on the Minor Registration
Form. If a higher registration fee has already been sent, a refund
will be provided at the convention.
All unchaperoned minors (options 2 or 3) will also have a youth
coordinator at the convention. Gamers will update the youth coordinator
with their daily schedule and the coordinator will arrange for take out
and fast food trips for the group. Minors should expect to spend
approximately $20 a day for food.
Parents may contact the staff during the convention for any reason by
calling (805) 704-0797. Questions before the convention begins in June are
best directed to our hotline at (805) 756-7141 Box 5. We do, however, wish
to point out that Polycon is an adult event with limited supervision and,
as such, minors are expected to be fairly self-sufficient.
Chaperoned minors (option 1) are, of course, under the supervision of
their parent or guardian for the duration of the convention. Therefore, as
long as the parent or guardian remains at the convention, the minor may
also stay.
All minors MUST have the Authorization for Consent to Medical Treatment
and Release Agreement signed by their parent or guardian prior to
attending the convention. Copies of these forms are available. Should parent register
minor on site, forms will be available for them. Minors CANNOT
participate if the parent does not complete these forms.
It is important to note that in the previous 21 years of Polycon, we have
never had an incident more serious than a young gentleman forgetting to
call home. Although we attempted to keep the program as flexible as
possible, some safeguards were required by university administration.
We deeply regret this change in policy and want younger gamers to
understand that we value their business. We would like to have continued
our previous liberal minor.s policy, but the University has stated that it
is legally dangerous for our convention to allow unchaperoned minors to
participate without parent consent. We hope this does not discourage you
from attending Polycon XXII, and our staff is ready to answer any
questions regarding this policy.
Sincerely Yours,
